This Privacy Policy describes how AI Integrated Concepts ("Walter," "we," "us," or "our") collects, uses, and protects your personal information when you use the Walter platform at https://walter.aiintegratedconcepts.com.
We are committed to protecting your privacy. We do not sell, rent, or trade your personal information to third parties for any reason, including marketing or advertising purposes.
2. Information We Collect

When you register for an account or update your profile, we collect the following information:

Information Generated Through Use
When you use the platform, we may automatically collect:
- Login records: Timestamps and IP addresses associated with sign-in activity, used for security monitoring.
- Session data: Temporary session identifiers to maintain your logged-in state.
- MFA configuration: Your selected multi-factor authentication method and associated settings (authenticator app secrets are stored in encrypted form).
- Usage and analytics data: Pages visited, features used, device and browser information, approximate geographic location (derived from IP address), and referral source. See the Cookies and Analytics section below for details.
3. Cookies and Analytics
Walter uses cookies and similar technologies to operate the platform and to understand how it is used. We use two categories of cookies:
Essential Cookies
These cookies are required for the platform to function and cannot be disabled. They include session cookies that keep you signed in, security tokens, and preferences such as your selected school context.
Analytics Cookies
We use Google Analytics 4 to understand how visitors use Walter so we can improve the platform. Google Analytics sets cookies (such as _ga and _ga_<ID>) that collect information including:
- Pages you visit within Walter and the order in which you visit them
- Time spent on each page and overall session duration
- Device type, operating system, and browser
- Approximate geographic location derived from a truncated IP address
- Referral source (how you arrived at Walter)
This data is aggregated and used for analytics purposes only. We do not use Google Analytics to target advertising, and we do not send personally identifiable information or student data to Google Analytics. Because Walter does not display student names or other student identifiers on any page, no student information is ever exposed to Google Analytics or any other analytics service. Google may process analytics data on its servers in the United States and other countries; Google's handling of this information is governed by Google's Privacy Policy.
4. FERPA Compliance & Student Data
The Family Educational Rights and Privacy Act (FERPA) is a U.S. federal law that protects the privacy of student education records. When professors and instructors use Walter to evaluate student work, the platform handles that work in a way that prevents the exposure of student identities through the user interface.
How Walter Protects Student Identity
- No identifiable display: Student names, ID numbers, and other directly identifying information are not rendered on any Walter screen, page title, or URL.
- Anonymized assessment view: Professors review and grade student work using anonymized references only.
- No exposure to third parties: Because student identifiers are never present in the rendered interface, they are not transmitted to analytics providers, error logging services, or any other browser-side third-party service.
- School official role: Where applicable, Walter operates under the FERPA "school official" exception, acting under the direct control of the educational institution with respect to the use and handling of student records.

5. How We Use Your Information
We use the information we collect for the following purposes:
- Providing the platform: Operating, maintaining, and delivering the features and services of Walter.
- Account security: Authenticating your identity, supporting multi-factor authentication, and detecting unauthorized access.
- Communications: Sending verification codes via SMS, password reset emails, and essential account notifications.
- Administration: Enabling school administrators to manage accounts and users within their institution.
- Improvement: Understanding how the platform is used in order to fix issues and improve functionality.
We do not use your information for advertising, profiling, or any purpose unrelated to providing the Walter platform.
6. Payments & Billing
Walter uses Stripe as our payment processor. When you subscribe or make a payment, your credit card or payment information is entered directly into Stripe's secure forms. We do not store, process, or have access to your full credit card number, debit card number, or bank account details at any time.
Stripe may provide us with limited information such as the last four digits of your card, card brand, expiration date, and transaction status for the purpose of displaying payment history and managing subscriptions. Stripe handles all payment data in accordance with PCI-DSS standards and Stripe's Privacy Policy.
7. Phone Numbers & SMS Communications
SMS Verification Details
- What we send: Automated text messages containing a 6-digit verification code for sign-in authentication.
- Frequency: Messages are sent only when you sign in using SMS-based MFA or manually request a new code. There are no recurring or scheduled messages.
- Third-party service: SMS messages are delivered through Twilio, a third-party communications provider. Your phone number is shared with Twilio solely for the purpose of delivering verification codes. Twilio's use of your information is governed by Twilio's Privacy Policy.
- Message and data rates: Standard message and data rates from your mobile carrier may apply.
- Opt-out: You can stop receiving SMS verification codes at any time by switching to authenticator app-based MFA in your account settings or by contacting your school administrator. Opting out of SMS does not prevent you from using Walter if an alternative MFA method is available.

- Carrier disclaimer: Carriers are not liable for delayed or undelivered messages.
We do not share your phone number with any party other than Twilio, and only for the purpose described above.
8. Information Sharing & Disclosure
We may share limited information only in the following circumstances:
- Twilio (SMS delivery): Your phone number and country code are shared with Twilio to deliver MFA verification codes, as described above.
- Stripe (payment processing): Payment information is handled directly by Stripe. We do not transmit or store your credit card details. See Stripe's Privacy Policy.
- Google (analytics): Aggregated usage data is collected and processed by Google Analytics as described in the Cookies and Analytics section. No student data is transmitted to Google. See Google's Privacy Policy.
- School administrators: Administrators within your school may have access to your account information (name, email, role, MFA status) as part of their administrative duties.
- Legal requirements: We may disclose your information if required by law, regulation, legal process, or governmental request.
- Protection of rights: We may disclose information when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
9. Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:
- Passwords are stored using secure one-way hashing (SHA-256) and are never stored in plain text.
- Multi-factor authentication is available and may be required to protect account access.
- SMS verification codes expire after 5 minutes and are single-use.
- Session tokens are generated with cryptographically secure methods and expire automatically.
- Login activity (IP address and timestamp) is recorded for security monitoring.
While we take reasonable steps to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security.
10. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. If your account is terminated or deactivated by a school administrator, we may retain certain data as required by law or for legitimate operational purposes (such as security logs). Temporary data such as SMS verification codes and session tokens are automatically deleted upon use or expiration. Analytics data collected through Google Analytics is retained according to our configured retention period in Google Analytics and is otherwise governed by Google's data retention policies.
11. Children's Privacy
Walter is intended for users who are 18 years of age or older. We do not knowingly collect personal information from children under 18. If we become aware that we have collected information from a user under 18, we will take steps to delete that information promptly. 12. Your Rights
Depending on your jurisdiction, you may have certain rights regarding your personal information:
- Access: You can view your account information at any time through your account settings.
- Correction: You can update your name, email, and job title through your account settings. Phone number changes for accounts with active MFA must be handled by a school administrator.
- Deletion: You may request deletion of your account and associated data by contacting your school administrator or emailing us directly.
- SMS opt-out: You may opt out of SMS-based authentication by switching to an authenticator app through your account settings.
